Change sharing link type for folders and documents in Teams, SharePoint, and OneDrive

Purpose

The default sharing link inside Teams, SharePoint, OneDrive will only share to users who already have existing access to that document. This Knowledge Base will show how to change the sharing link type to meet different needs, IE: sharing to the entire organization, sharing to people outside the org, sharing to only specific people. 

Scope

Applies to all users that share documents in Teams, SharePoint and OneDrive.

Procedures

A. Documents

  1. Hit Share at top right of document > Copy linkUploaded Image (Thumbnail)
  2. SettingsUploaded Image (Thumbnail)
  3. Change to the link option that works for your needsUploaded Image (Thumbnail)Uploaded Image (Thumbnail)
     
  4. When choosing a different link type, make sure to set the permission level and expiration date for the link > then hit Apply. The link will then be copied to your clipboard Uploaded Image (Thumbnail)

 

B. Teams Folders

  1. Open the Teams site / channel where the files are located > FilesUploaded Image (Thumbnail)
  2. Click the 3 dots on the folder needing a sharable link > Copy linkUploaded Image (Thumbnail)
  3. After hitting Copy link you can follow A. Documents, steps 2-4 to edit the link. 

 

C. Sharepoint Folders

(NOTE: I am opening a test Team in SharePoint. Teams and OneDrive files are both SharePoint sites at their core)

  1. In your sharepoint site click the dots next to your folder > Copy LinkUploaded Image (Thumbnail)
  2. After hitting Copy link you can follow A. Documents, steps 2-4 to edit the link. 

 

The processes used above are all very similar in fashion and are interchangeable for delegating access to folders and files. You will find these settings to be standard within the Office365 environment.
