Advise Imports for End Users

This KB is for Advise users who are doing their own imports. It is designed to go step-by-step through the process.

Initial steps are listed step-by-step, but also includes images further down. 

 

Select Managers > Imports > Import data > Choose your File to Import > Select Next > Select Next > Select your entity you wish to import to > Confirm your data mapping > If prompted, click "ok" to ignore unmapped fields > Select Next > Allow Duplicates (choose yes, if you need to create more than one record for a student) > Leave owner > Leave Data Map name blank > Click Submit > Click Finish

**Note - The Fields on your file MUST match the fields used to create your data map.

Upload your file as a .csv

**YOUR FILE MUST HAVE ALL OF THE SAME FIELDS AS THE FILE PROVIDED TO WES TO MAKE YOUR DATA MAP**

**Your data must be in the same format as well**

This file has been provided back to you via email for your comparison.  

 

Select next.

Select next 

Choose your appropriate data map 

Select next 

Select next 

Choose your appropriate entity:

Select Next 

Your data map should already be set. 

You can review the fields to make sure they match

Source Field = your document 

Dynamics 365 Field = Field in Advise 

 

If prompted to ignore unmapped fields, select “ok” 

Then choose next 

Allow Duplicates – you may want to change to “yes” if it is possible a student would have more than one record. 

Select owner will you. 

Leave the data map name field blank

Click Submit 

Then Click Finish. 

 

Your dashboard will go through the following phases 

Importing, Parsing, Transforming, Completed. 

Once it is completed, you can review your records 

Total Processed should match the number of records you imported on your file 

Successes – hopefully this is all records! 

Errors – if any failed

To view records, click the name of your import 

And can view the success/failures here:

If you need to delete all created records from your import and try again:

Delete > All Records Imported to this Entity During this Import 

 

You can run an advanced find to view your records and validate against import. 

 

Set Look For to the entity you created and then 

Created On (or equivalent field) today (or day of the import)
