Purpose
This guide provides instructions for encrypting emails in Microsoft Outlook for all users of Northeast Community College's email system. Email encryption ensures that your messages are secure and only accessible by authorized recipients.
Why Encrypt Emails?
Email encryption protects sensitive information, including personal data, student records, or confidential college-related content, ensuring that it is securely transmitted and inaccessible to unauthorized parties.
How to Encrypt an Email in Outlook
Option 1: Using the "Encrypt" Button (this button may not be available in some versions of outlook)

Compose a New Email
Open Microsoft Outlook and click on New Email to start composing your message.

Encrypt Your Email
- Go to the Options tab at the top of the window.
- In the Permissions group, click Encrypt. This applies encryption to the email.

Send Your Email
After applying encryption, send your email. The recipient will need to authenticate (e.g., via their email credentials) to access the content.
Option 2: Typing "Secure:" in the Subject Line
You can also encrypt an email by using the subject line.

Compose a New Email
Click New Email to begin.

Encrypt Using the Subject Line
- In the Subject field, type Secure: followed by the subject of your email (e.g.,
Secure: Student Information).
- Once the email is sent, it will automatically be encrypted.

Send Your Email
As soon as you send the email, encryption is applied, and the recipient will need to authenticate to access the message.
Important Notes for Northeast Community College Email Users
- Compatibility: Encrypted emails are accessible to recipients who use supported email services like Outlook or Office 365.
- Recipient Authentication: Recipients may be required to log in or use a one-time passcode to view the encrypted message.
- College Policy: Use email encryption for any communications involving sensitive or confidential information as per the college's data protection policies.
