Imagicle Faxing

This article explains how to access and use Imagicle digital faxing.

Imagicle Faxing is a secure, web-based fax solution that allows employees to send, receive, and manage faxes digitally—eliminating the need for physical fax machines. This service is available only to employees with an approved business need for faxing. 

Please Note: Some users may be assigned individual fax numbers, but most are set up within business unit groups (e.g., HR, Student Accounts, Registrar), where all members share a single fax number for sending and receiving. Each user in the group receives their own copy of incoming faxes in their personal inbox, so if one user deletes a fax, it remains available to others. Outgoing faxes sent by any group member appear as sent from the shared number, but only the sender can see them in their outbox.

Accessing Imagicle Faxing

To log in:

  1. Open a web browser and go to MyApps.

  2. Locate and click on the "Imagicle Faxing" tile.

  3. If prompted, sign in with your Northeast Community College email.

Using Imagicle Faxing

After logging into Imagicle, users must click on the digital fax icon to access the interface.

Once opened, the screen will display several key sections:

  • Send a Fax – Click this tab to compose and send a fax.

  • Inbox – View received faxes.

  • Outbox – Check the status of outgoing faxes.

  • Preferences – Adjust personal settings for faxing.

Sending a Fax in Imagicle

Once logged into Imagicle Faxing and accessing the Send a Fax tab, follow these steps to send a fax (note an image below for reference):

1. Enter Sender Information

  • Your full name should auto-fill in the "Sender's Data" section.

2. Add Recipients

  • In the Recipient Name field, enter the name of the recipient (optional).

  • In the Recipient Fax Number field, enter the recipient’s fax number in the following format:
    +1 [Area Code] [Full Number] - No SPACES
    (Example: +14025551234)

  • Ignore the "Find Contact" button. All recipients should be entered manually using their fax number in the Recipient Fax Number field.

  • To add multiple recipients, repeat the steps and verify they appear in the List of selected recipients box.

3. Compose the Fax

  • Enter a Subject (this may appear on the recipient’s end).

  • Cover pages are not currently available in Imagicle, so leave this option set to the default.

  • If you want to include a message in the body of the fax, type it into the Text field.

  • To attach a document, ensure the "Add Attachment" checkbox is selected. Note, when this checkbox is checked, a "Select File" button will appear at the bottom of the page. Do not attach the document until you have completed configuring settings for you fax as attaching a document is the final step before sending the document. 

4. Set Fax Options

  • Send a return receipt: Check this box if you want confirmation that your fax was sent.

  • Attach a copy of the fax: This option should be greyed out and is not currently available.

  • Priority: This sets a priority flag on the fax, think urgent in email. It does not impact the speed of delivery. 

  • Scheduling:

    • Select Send the fax as soon as possible to send immediately.

    • Select Send the fax exactly at this time and choose a time if you need to delay sending.

5. Send the Fax

  • Review all fields to ensure accuracy.

  • Click Send Fax to submit the fax if you did not check the "Add Attachment" checkbox.

  • If you did check the "Add Attachment" checkbox, click the "Select file" button, browse for your file and then click the "Send fax" button.

Receiving Faxes in Imagicle

To view received faxes, follow these steps:

  1. Imagicle Email - Imagicle will send you an email notification when a fax is received to your Imagicle inbox. 

  2. Access the Inbox

    • After logging into Imagicle Faxing, click on the Inbox tab.

    • A list of received faxes will be displayed.

  3. Viewing and Managing Faxes

    • Each fax entry includes details such as the sender's number, number of pages, date received, and a reference number.

    • Use the following actions to manage your faxes:

      • Download – Click the download icon  on the left-hand side of the fax to open and view the fax.

      • Forward – Click the forward icon to send the fax to another recipient.

      • Delete – Click the trash icon to delete the fax from your inbox.

Ensure that any faxes containing sensitive information are handled securely and deleted if no longer needed.

 

Managing Sent Faxes in Imagicle

The Outbox section allows users to track the status of sent faxes.

Accessing the Outbox

  1. After logging into Imagicle Faxing, click on the Outbox tab.

  2. A list of sent faxes will be displayed, showing details such as the recipient, fax number, subject, number of pages, and status.

Understanding Fax Status

Each fax will have a Status field indicating its delivery state:

  • Sent – The fax was successfully delivered.

  • Failed – The fax could not be sent. A "Retry" link may appear, allowing you to attempt resending.

  • Pending – The fax is in the process of being sent.

Managing Sent Faxes

For each sent fax, the following actions are available:

  • Download – Click the download icon to view the sent fax.

  • Forward – Click the forward icon to resend the fax to another recipient.

  • Delete – Click the trash icon to remove the fax record.

If a fax fails, verify the recipient’s fax number format and try resending. For repeated failures, contact Service Center for assistance.
