Quick Reference Guide

Placing a Call

Click on the Cisco Call app in the Teams sidebar.

You’ll see a dialpad like the one shown here.

Option 1 – Dial a number directly:

  • Use your keyboard or click the number buttons to enter the 10-digit phone number (e.g., 14028447000). - Note - you no longer need to add a 9 before the number.
  • Click the green Audio icon that looks like a phone to make a voice call. Uploaded Image (Thumbnail)

Option 2 – Search your organization’s directory:

  • Start typing a name or extension in the field above the dialpad.
  • Click the green Audio icon that looks like a phone to make a voice call.

Option 3 – Call from a Teams user profile:

  • Use the search bar at the top of Teams to search for a coworker by name.

  • Click on the user in the search results to open their profile.

  • If they have a phone number listed, you’ll see it appear under their name.

  • Click on the phone number—this will launch a call using Cisco Call directly.

 

Answering a Call

When someone calls your college number, you’ll see a pop-up notification like this:
You have three options:

  • Answer – Click the green Answer button to pick up the call.
  • Decline – Click the red Decline button to send the call to voicemail.
  • Silence – Click the bell icon in the upper right to mute the ringtone without declining the call. The notification will stay on your screen, giving you time to decide.
  • Tip: If you miss a call, it will appear in your Recents tab in Cisco Call. Any voicemail left will appear in the Webex app (on desktop or mobile).

Setting Speed Dial

  • In Microsoft Teams, open the Cisco Call app from the left sidebar.
  • Click the Speed dial tab at the top next to “Dialpad.”
  • Select Add a speed dial.Uploaded Image (Thumbnail)
  • In the window that opens, search for a contact name from your directory, or manually enter a phone number using the 10-digit phone number format (e.g., 14028447000)
  • Enter additional information such as first name, last name, etc. as required.
  • Your new speed dial will now appear as a button under the Speed Dial tab, just click to call!

 

Setting "Do Not Disturb"

Cisco Call within Teams follows your Microsoft Teams status. To prevent incoming calls and send them directly to voicemail, set your Teams status to Do Not Disturb:

  • Open Microsoft Teams.

  • Click on your profile picture in the top right corner.

  • Select Do Not Disturb from the status options.

Once enabled, you won’t receive call notifications until you change your status. See the image below for reference.

Setting and Using Voice mail

To Set Up Your Voicemail:

  1. Dial 1000 or click the voicemail icon in the top right corner.

  2. When prompted, enter your passcode followed by the # key. (Default passcode: 235689)

  3. Follow the prompts to complete your voicemail setup.

New Voicemail PIN Requirements:

Your voicemail PIN must meet the following criteria:

  • Be at least six digits long (numbers only).

  • Not match any of your previous 24 PINs.

  • Not correspond to the numeric version of your first or last name.

  • Not include your extension number.

  • Not contain repeated digits (e.g., 228883, 121212, or 408408).

  • Not follow a sequential pattern (e.g., 012345 or 987654).

  • Not consist of numbers that are located in a straight line on the keypad (e.g., 123, 789).

Accessing Voicemail

  • Open Microsoft Teams.
  • Click on the Cisco Call icon in the left navigation bar.
  • Click the “Voicemail” tab next to “Recent calls.”Uploaded Image (Thumbnail)

In the voicemail tab, you can:

  • Play the message – Use the play button to listen.
  • Read the transcript – If transcription is available, it will appear below the message.
  • Call back – Click the green phone icon to return the call immediately.
  • Delete – Click the trash can icon to remove the voicemail from your list.

Each voicemail also shows the time and date it was received, the caller name if known and the number.

Outlook Email Notification
You will also receive an email notification in Outlook when you get a new voicemail. This email will include:

  • The caller’s number and name (if known)
  • The voicemail transcription (if available)
  • An audio file attachment (.wav) of the voicemail, so you can listen without opening Teams

Transferring a Call

While on an active call, select More Options  and then choose Transfer.

Enter the name, partial name, or phone number of the person you want to transfer the call to and select the person from the search results.

You then have 2 options

  • Click "Consult first" - Talk with the person on the receiving end of the transfer first. If you searched for someone by name, choose their mobile or work number. Then, tap Complete transfer or tap Resume to go back to the first call.
  • Click "Transfer now" - transfer the call right away with audio only. If you searched for someone by name, choose their mobile or work number to complete the transfer.

 

Conferencing a Call

When you're in a call with someone, click More, and then select Conference.

Let the person in the first call know that they'll be put on hold.    

Enter a number or a name and then click the green audio call button.

Select Merge to join the two phone calls.

Parking a Call

While on a call, press the Call Park softkey on your deskphone, Choose Call Park within the Webex Application, or Dial *68 followed by the Call Park extension.

To retrieve a call, press the Call Unpark softkey or dial *88 and the extension the call is parked at.

A call can be parked using the shared call park extension 9000-9002 or directly to someone’s personal extension.
